Dear Resident,

Vanakkam. On behalf of the Team from Covai property Centre (India) P Ltd we welcome you to Madhuban, “The Forest of Honey.” We wish you and your family prosperity, happiness and good health. May all your dreams come true and life is indeed as sweet as honey at Madhuban!

We have almost completed all the promised commitments in terms of infrastructure and amenities. The furniture and furnishings for the Lounge have been ordered and are expected soon. The swimming pool has been completed and has been commissioned. We have procured the entire lot of equipment for the Gymnasium. Car parks have been marked and space ear marked for Visitors’ Car Park.

In effect, Madhuban is operational. Those of who have already moved in or have visited Madhuban in the recent past would agree with the general impression that Madhuban is perhaps the finest apartment complex in Coimbatore and is value for money invested. It would be of interest for you to know that your investment has already multiplied and, the going rate as on date is over Rs 3000/- per sq ft

We have applied for Registration of Madhuban Apartment Owners’ Association and will hold the first General Body Meeting to elect the Office bearers within the next two months or so. The rules as well as the Memorandum of Articles for the Association have been submitted to the authorities.

Management of Services:

Madhuban is a modern apartment with special features like Hydro Pneumatic systems for water distribution, central Gas supply, Intercom for the entire complex, Stand by generators and modern lifts, car parks including for visitors, top class amenities etc.

With residents having moved in, maintenance services have been activated at Madhuban through Covai Property Management Services (P) Ltd. We have got the security personnel in place and have got a security cabin for them. We have also employed a House Keeper to oversee and maintain all the systems like Generator, Hydro Pneumatic System for water, Solar Water Heater, Lifts as well as look after the upkeep of the amenities like Gymnasium, Lounge, Common Toilets, Swimming Pool etc. He is being assisted by conservancy staff in keeping the surroundings clean. We have also located a plumber at night and an electrician is on call. The landscaping of the Garden has been completed and this too will need to be taken care of.

Quality comforts can only come with lot of effort and it costs money. If we look after Madhuban, the value of our investment will go up. We need the cooperation of the residents to help us maintain the facilities while making full use of the amenities. We have prepared an estimate of the maintenance costs which will be verified during the period May to August so that we come to know the expenditures that are being incurred. We will produce the accounts for the same and the Maintenance charges will be payable with effect from 1 May 2007. The data collected would give us a baseline to fix monthly maintenance charges to be paid by the residents. It is needless to emphasize that better amenities would cost money.

Note: The following annual expenses need to be taken note of and has not been included in the calculations above:

  • Annual Maintenance Contract for Lifts (Currently it is on Guarantee Period)
  • Lift Inspection Charges
  • Annual Bonus for staff (included as increment & annual maintenance charges)
  • Purchase of drinking water to make up shortfall when need arises (this expenditure could be included on occurrence)

Basic Norms:

We need to implement some norms immediately, pending the holding of the General Body Meeting, so that the residents’ comforts are looked after. These are as follows:

  • Madhuban Apartment belongs to all the residents. Therefore, adjustments will be necessary for harmonious living
  • No apartment can be let out for any commercial or business use as the Owners have already signed an Agreement with the Developers, which is quite exhaustive
  • All occupants must keep the surrounding areas, common areas and common amenities neat and tidy at all times
  • Water should not be wasted as it is a precious commodity\
  • Rules for use of Swimming Pool, Gymnasium should be followed. Occupants of apartments are responsible for the safety of their children using Swimming Pool and the Gymnasium
  • Please do not throw garbage except in the bins provided. Please ensure that garbage is disposed off regularly
  • Please do not pluck flowers from the Landscaped areas
  • Please look after the lawns and the plants
  • Please teach your maids, drivers and house helpers not to spoil the walls and the floors as well as the toilets by spitting etc
  • Conserve electricity by switching off the common lights in your respective floors
  • If you notice any unknown person moving in suspiciously, please alert the Security Staff
  • Please warn your children from entering the Lift Room area as it could be dangerous
  • Please ensure that your children do not run around on the Open terrace on the Fourth floor as this could be dangerous. They can play on the ground floor without causing damage to anyone’s car or two wheelers
  • Parents will be responsible for the safety of children. Flying of kites by children will be under the supervision of parents.
  • Similarly, parents should be with their children when they go for swimming as they alone are responsible for the safety of their children
  • Timings for use of the Gymnasium and Swimming Pool are being put up and these may please be adhered to.
  • Use of Lifts:
    • Please switch off the fans in the Lift before alighting.
    • Please do not scratch or write on the walls of the Lift
    • Please do not carry heavy baggage inside the lifts
    • Make use of stairs as far as possible since it also exercises your heart!
  • Lounge:
    • Please use the Lounge whenever you want for any occasion. Kindly inform Mr Mohan Nair, the General Manager of Covai Property Management Services (P) Ltd for any booking (mobile:99449 -51107). Charges to be levied will be decided in the first Annual General Meeting.
    • Please take care of the furniture and the furnishings as you would do at your home.
    • You can also use the terrace to hold any private parties so long it does not disturb the occupants. Please inform Mr Mohan Nair.
  • Please reduce noise levels from radio, TV and music systems so that neighbours are not disturbed
  • Please do not dispose off sanitary towels in the EWCs as it may clog up the entire sewage system.
  • We are also getting Notice Boards as well as Central Name Boards with the names of the Owners in both the Wings
  • The place below the Atrium has been done up so that your house helpers and drivers can relax in this area
  • Please do not undertake any modifications, which would spoil the façade and elevation of Madhuban. We will be forced to stop such actions as the owners have signed the agreement with the Developers which debars any such modifications to the building.
  • Please try and avoid using the hand rails in your balcony for hanging clothes. We can organize cloth lines with pulley arrangements for those who desire, as this is very convenient to hang wet clothes and also remove them after they dry up.
  • The use of facilities like Gym & Swimming pool will be with no liability to the Management and or the Association.
  • In their own interest residents and guests are requested to adhere to safety norms before use of facilities like the gym, swimming pool and terrace area. Guardians will be responsible for the safety of their wards.
  • Residents are requested not to argue or direct the staff. They may contact office bearers for any issue.

Water Management:

We are getting water from the Corporation, but it is not in abundant quantity. We need to conserve Corporation water so that we are not hard pressed. Recently we had to buy fresh water since the water was unavailable for four consecutive days.

It is essential that we use the Softened Bore Well Water for most of our requirements. Corporation water should be used only for drinking and cooking purposes. We may have to resort to timings for issue of water if we find that the consumption of water is more than the supply.

Similarly, please conserve Solar Water to the maximum extent possible so that all the residents can benefit from solar energy which is free.

We have made arrangements for washing of cars near the compound wall at a number of points. Please use the water judiciously and also do not leave the area dirty after the car is washed

Car Parks:

  • Car Parks have been marked. Please park your cars in your allotted car parks.
  • We have also marked car parks for the visitors.
  • The area adjacent to the Gas Room has been cordoned off due to security reasons. However, if anyone has a party at the Lounge, please inform the House Keeper who will remove the chain so that your visitors’ cars can also be parked there.
  • Should your visitors stay over night, please inform the security staff as we do not want unknown cars to be parked mainly due to bomb scare

Visitors:

  • Visitors will have to write their details in the Register kept with the Security Staff.
  • The security staff has been informed that only after they obtain the permission of the concerned resident through the Intercom, will the visitors be permitted to go inside
  • • It would be advisable if the residents inform the Security Staff about the impending visit of their visitors so that the visitors are not put to any inconvenience
  • Should visitors bring their driver who needs to spend the night at Madhuban, please inform the Security Staff. The resident will have to make arrangements for their stay as we do not have any place for the drivers, though we have separate toilets for the maids and the drivers in the car park area.
  • • Guests who are staying with the residents as well as casual visitors are not permitted to use the amenities provided unless they pay the charges which will be collected and deposited with the Madhuban Apartment Owners Association.

Cooking Gas:

This is being supplied through the Central Gas supply system that we have set up. Bills for the use of Gas will be required to be paid. Failure to clear the bill will result in suspension of Gas supply.

Workmen

  • Woodwork and interior work is being done in a number of apartments. Please instruct the contractors whom you have employed, to fill in the register at the Security Gate.
  • We also would like the owners to give a permission letter to the workers so that we do not permit unauthorized personnel to enter the apartment complex.
  • The workers may kindly be instructed to stop the work by 6 PM so that the residents are not disturbed. The Security Staff has been instructed to remove the workers from Madhuban premises at 6 PM

Complaints & Suggestions:

Complaint and suggestion books are available with the House Keeper. Please fill in your complaints and suggestions to enable us to take action. Thanks.

Conclusion:

Once Madhuban is fully occupied, it would be a vibrant place and we should make our life comfortable. We should aim at creating the feeling of togetherness since we all belong to one big family of Madhuban. We should enjoy our life and make full use of the amenities. As the days go by, we shall refine the rules to suit our convenience and make life worth living in Madhuban. Together, we shall make life in Madhuban the best that one can hope for.
